1. Prepare the file
No file yet? A template is available to download right in ChurchFlow.
- One row per person, with column titles on the first row (First name, Last name, Email…).
- Save as .xlsx or .csv. In Google Sheets: File → Download.
- In ChurchFlow, choose “Excel or CSV file”, drop the file and check how columns are matched.
2. Import into ChurchFlow
- Open People, then click “Import”.
- Choose “Excel or CSV file” and drop the file (CSV, Excel or .zip).
- Check the recognized columns: first name, last name, email, phone, birth date, family, address. You can adjust them if needed.
- Check the summary: new people, duplicates found, rows to review. Then import.
What gets imported
People and families: names, emails, phone numbers, addresses, birth dates and family links. Each record is tagged “Import CSV”. Inactive people can be left out, and large files are imported in batches of 2,000 people.
Gifts, groups and history are not transferred by the import. The import also does not grant consent for emails and texts: you will need to ask people for it.
Frequently asked questions
What if someone is already in ChurchFlow?
ChurchFlow recognizes them by email, phone, or name and birth date. By default the existing record is left unchanged. You can also choose to complete it, without erasing anything.
